You often have so much work to do that completing it seems almost impossible. You have set priorities, made plans, delegated responsibilities, and tried to focus intently on the task at hand. Yet, the question remains: how can you get better work done in less time? Here are five strategies that can save you several hours each week :
1. Clarify actual expectations : -
Ask the person you are working for exactly what they need. They might not always require flawless "A+" work; sometimes, solid "B+" work is sufficient. At times, they may need a detailed plan, while at other times, a preliminary outline suffices.
2. Reuse existing material : -
Whenever possible, copy old material, make necessary adjustments, and reuse it. There is no need to create everything from scratch or completely overhaul it every time. Even successful public speakers often deliver the same speech repeatedly, as constant practice makes it better over time.
3. Create templates and checklists : -
For recurring tasks, create templates or checklists in advance, or use existing ones. Templates are useful for weekly reports, presentations, and meeting agendas, while checklists save time for weekly planning and one-on-one meetings.
4. Communicate verbally instead of writing : -
Suppose your manager asks you to gather information on a topic. Instead of creating an elaborate presentation, note down the key points and explain them through a direct conversation. Verbal discussion often saves time and conveys complex ideas more clearly and effectively.
5. Set a time limit for every task : -
Before starting any task, decide on the maximum amount of time you will dedicate to it and stick to that limit. For instance, if you tend to spend too much time on research, allocate only one or two hours for it. This technique is called time-boxing. It does not always guarantee that the work will be completed within the allotted time, but it greatly helps in maintaining focus and making better use of time.
